How many reminders you need before an appointment
One message is enough for some appointments, others need a confirmation and a same day reminder. Answer three questions and get a plan.
The assumption: each reminder prevents a share of the no shows left after the previous message. 25% is only a starting point, not the result of a study. Measure after a month and use your own figure.
An estimate, not a promise. Everything runs in your browser. Nothing you type is saved or sent anywhere.
How the plan is chosen
Every appointment gets a reminder 24 hours before. The client still has time to say they cannot come, and you still have time to give the slot to someone else.
Appointments booked long in advance also get a confirmation request a few days before, because people forget them more easily.
Long services or ones that need preparation get a message 48 hours before, with the instructions. For home visits, the last message is the on my way one.
If no shows are above 8%, we add a short same day reminder. Below 3%, for regular bookings, one message is enough.
The estimate: no shows with the plan = today's no shows × (1 minus the effect of one reminder) to the power of the number of reminders. It is a simple model to compare options, not a guarantee.

Frequently asked questions
Isn't three messages too many?
For an appointment booked two months ago, no. For a haircut booked yesterday, yes. That is why the plan depends on the type of appointment, and the messages stay short.
Where does the 25% come from?
It is a starting value we chose so you can see how the maths works. It is not the result of a study. Compare a month without reminders with a month with them and use your own figure.
SMS, WhatsApp or email?
Use the channel your clients actually read. Messages sent only to people who agreed to receive them are also the best received.
Does the calculator save what I type?
No. Everything runs in your browser.
